Plan it early. Keep it simple. Enjoy every minute.
Whether you're planning a birthday, graduation, family gathering, or just an excuse to get everyone together, a little planning goes a long way. Here's our go-to timeline for getting everything ready without feeling overwhelmed.
2–3 Weeks Before
Get the big things locked in
Set your date and guest list: You don't need an exact headcount yet, but having a rough number will help you plan seating, food, and space.
Choose your party setup: Think about what you actually want your guests to do. Eat? Hang out? Play? Watch a movie? Having a general plan makes the rest easier.
Book your rentals: Reserve tables, chairs, tents, inflatables, soft play, concessions, or entertainment. Popular items can book up quickly, especially on weekends.
Send invitations: Include the date, time, address, and any important details your guests need to know.
Start thinking about your layout: Where will people eat? Where will the kids play? Where will food and drinks go? Where will guests park?
Make a weather plan: Outdoor parties are unpredictable. Decide now what you'll do if rain, wind, or extreme temperatures show up.
Host Tip: Don't wait until the week of your party to figure out where everything will go. A quick sketch of your backyard can save you a lot of stress later.
1 Week Before
Start putting the pieces together
Confirm your final guest count: This helps you finalize seating, food, drinks, and supplies.
Confirm your rental details: Make sure you know your delivery window and have communicated any important access or setup information.
Plan your food and drinks: Create your menu and make a shopping list. If you're catering, confirm your order and delivery time.
Plan your serving area: Decide where food, drinks, desserts, and trash will go. Keeping these areas together can make the party flow much better.
Walk your backyard: Look for anything that needs attention before setup, like mowing, trimming, moving furniture, picking up toys, clearing branches, checking for uneven areas.
Decide where rentals will go: Know where you want your tables, chairs, tent, inflatable, soft play, or other rentals before party day.
Check your power situation: If you're using equipment that requires electricity, make sure you know where your outlets are and whether you'll need an alternative power source.
Make a shopping list: Don't forget the little things, like ice, cups, plates, napkins, utensils, trash bags, serving utensils, food storage containers, paper towels, sunscreen, bug spray.
2–3 Days Before
Take care of the little things

Host Tip: Create one "party zone" inside your house or garage where everything you'll need is gathered. It makes setup day so much easier.
The Day Before

Clear the setup areas: Move toys, hoses, outdoor furniture, sprinklers, yard equipment, and anything else that could get in the way.

You did the planning. Now it's time to actually be there for it.
Before Your Guests Arrive
Here's our 5-minute host check:
Bathrooms are stocked: Toilet paper, hand soap, hand towels, and a full trash can.
Trash cans are visible: Make it easy for guests to clean up after themselves.
Food is ready: Or at least ready enough that you're not stuck in the kitchen.
Drinks are accessible: Guests shouldn't have to ask where everything is.
Seating is ready: Have enough places for people to sit, but don't feel like every chair has to be perfectly positioned.
Music is playing
Kids' area is ready
Lighting is ready
Your phone is charged
You are ready to have fun
Don't Forget the Weather
Especially for Kansas City backyard parties, check your forecast more than once. Have a backup plan for:
Rain: covered area, indoor option, waterproof storage for supplies
Heat: shade, fans, cold drinks, water, sunscreen
Cold: blankets, covered seating, warm drinks, patio heaters if appropriate
Don't try to do everything yourself. Your guests aren't coming to see whether every decoration is perfect. They're coming to celebrate with you. Give yourself permission to simplify the menu, skip the complicated DIY project, order the cake, rent the tables, and let someone else handle the setup. The goal isn't to create the perfect party. It's to create a party you actually get to enjoy.
